<p>The AVP Operations supports the department in meeting/exceeding Net Operating Income (NOI) projections, maintaining the physical condition of the asset, and ensuring compliance with legal requirements and URC policies/procedures . Through rigorous oversight of property operations, and proactive engagement with tenants, contractors, and regulatory bodies, the AVP Operations ensures that the asset delivers optimal returns, maintains superior condition, and provides an exceptional experience for all stakeholders.</p><p>Assisting the line manager in formulating the department strategy, improving performance, procuring material and resources, and securing compliance Implementing the strategic business plan for the properties to drive footfall at the property(s) with the aim of attaining the company rent/revenue targets and profitability. Develops the annual capital expenditure and operating budgets for assigned property(s), and continuously monitors performance against budget. Operates property(s) in accordance with the management contracts and approved annual budget. Ensures all Property Management policies, procedures and operations are executed to standard. Creating schedules, managing personnel, communicating with clients, and working with project managers to overcome challenges. Assuring day to day tasks and operations are efficient and effective to increase team productivity. Provide regular reports to monitor the property s performance against benchmarks such as footfall, sales, revenue targets, budget forecasts, operating costs, utilities etc., including competitors activity and other reports as directed by the VP. Conducts full property inspection on a regular basis, initiates appropriate actions under the guidance of the URC leadership and creates related reports for management. Maintains a strong relationship with contractors and facility management companies to obtain excellent service at optimum rates, regularly reviews contracts and performance, addresses issues, and negotiates new contracts as needed. Ensures that the quality of soft services at the property is up to standards. Oversees all repair and maintenance work by maintaining a strong relationship with the Facility Management team and monitoring the quality of all repairs and maintenance. Ensures regular as well as preventative maintenance is scheduled, completed and within the budgetary and operational expectations. Ensures all signed lease agreements are on record and their terms are being implemented through proactive communication and compliance. Maintains up-to-date investor documentation such as insurance, commercial license, signage license, franchise license and any other local documentation on record. Oversees all contacts with the tenants to maintain a high level of satisfaction by ensuring that the tenants needs are understood and fulfilled, their requests are being responded to, and their activities in regards the lease requirements are being monitored. Continuously reviews tenant accounts, monitors the collection process, and actively engages in resolving collection issues and disputes. Ensures the effectiveness of rent collection and revenue security systems. Oversees all cases where payments are not made and escalates to URC Leadership to take legal measurements when necessary. Ensure compliance with all legislations governing the property management function including. but not limited to, rent and leasing guidelines, occupational health, and safety law. Ensures all vendors and contractors comply with the established health and safety policy, and immediately address any infractions, hazardous conditions, or damaged equipment. Builds strong relationships with municipal authorities, Fire Department, MOI and other Government and non-government organizations that need to be leveraged for the effective operation of the Centre. Maintains the highest level of awareness of the status of property in the portfolio and market conditions in the area. Participates and provides inputs in various control, governance, and advisory committees, as applicable to the role. Ensures tenants files are consistent with URC policies and procedures and maintains a proper filing of all hard and soft copy documentation and correspondence. Creates and maintains a database of all past, current, and future tenants for archiving and records purposes. Inspects the property s security standards, cleaning and maintenance issues and reports it to providers. Coordinates with Leasing Executives to ensure that all leases and renewal agreements are signed by the property owners or lesser in compliance with existing contracts and organization guidelines. Responsible for inspecting the property prior to leasing and notes its condition prior to the tenants moving in. Ensures that all property repair and maintenance programs are executed within budget, which will efficiently sustain a high level of tenant satisfaction and aesthetic standards.
