1. Job Summary

Our organi is implementing SAP Business One (SAP B1) as the group's platform of record across eight legal entities in Kuwait and the UAE, hosted on Microsoft Azure and integrated with the operational systems the business already runs on. The Senior ERP & Systems Administrator is the group's internal owner of that platform — before, during and after go-live.

The role combines three things: day-to-day administration of SAP B1 and its integrations; ownership of our organization’s side of the implementation programme (data readiness, user acceptance testing, authorisations, cutover and end-user training); and administration of the group's Microsoft and network infrastructure. Because the implementation partner's scope ends at go-live plus a short hypercare period, this role is what allows the company to run, change and extend the system without depending on billable vendor days.

2. Systems Landscape

The environment this role is accountable for:

• ERP: SAP Business One across 8 legal entities — 4 in Kuwait & 4 in UAE, multi-currency, with separate chart-of-accounts structures.

• Add-ons: Seidor Intercompany (master data replication, marketing document exchange, intercompany transactions) and the SAP B1 Usability Package (B1UP) for forms, validations, user-defined fields and screen customisation.

• Integrations: Zenoti (salon & spa POS/booking), Shopify (e-commerce), Sapaad (F&B POS) and Kayan HRMS (employee master and payroll) — connected through an integration middleware layer using real-time webhooks and scheduled end-of-day batch jobs.

• Hosting: Microsoft Azure cloud hosting for SAP B1, the add-ons and the integration application server, provided under a managed hosting agreement.

• Infrastructure: Microsoft 365 (Exchange Online, Teams, SharePoint), Active Directory / Entra ID, branch and head-office networks, endpoints, connectivity and backup.

• Licensing: 30 named licences at go-live (4 Professional, 26 Limited), with growth expected as brands and branches are added.

3. Key Responsibilities

3.1 SAP Business One Administration & Governance

• Administer, configure and maintain SAP Business One across all eight legal entities: users, licence-type allocation, authorisation profiles, approval procedures, document numbering, posting periods and system settings.

• Own master data governance across brands and entities — business partners, items, price lists, chart of accounts, cost centres and profit centres (up to five cost dimensions) — including naming standards, duplicate prevention and periodic data-quality reviews.

• Administer the Seidor Intercompany add-on: replication rules, intercompany document flow, and reconciliation of intercompany balances with Finance.

• Build and maintain B1UP configurations — user-defined fields and tables, validations, formatted searches, alerts and screen layouts — to meet business change without raising a chargeable change request to the implementation partner.

• Manage the SAP B1 upgrade and patch cycle in coordination with the hosting provider: assess release notes, test in a non-production company, plan downtime and validate integrations after every upgrade.

• Maintain non-production (test/training) company databases and control the promotion of configuration changes into production.

3.2 Integration Operations

• Operate and monitor the integration layer between SAP B1 and Zenoti, Shopify, Sapaad and Kayan HRMS — both real-time webhook flows (sales, payments, refunds, customer creation, stock consumption) and scheduled batch flows (item and price-list pushes, stock synchronisation, end-of-day financial summaries, payroll and EOSB journals).

• Run a daily interface health check: confirm every scheduled job completed, investigate failed or stuck transactions, reprocess them, and escalate systemic failures to the relevant vendor.

• Reconcile interface output against source systems — POS day-close totals to AR invoices and incoming payments, stock consumption to goods issues, payroll journals to Kayan — and resolve differences with Finance and Operations before period close.

• Maintain interface documentation, mapping tables and error-handling runbooks so that recovery does not depend on a single person.

• Assess, specify and coordinate new or changed integration flows, including onboarding of additional brands, branches or channels onto existing interfaces.

3.3 Implementation & Migration Ownership

• Act as the primary internal technical counterpart to the SAP B1 implementation partner across all project phases — blueprint, realisation, training and UAT, final preparation, go-live and hypercare — and control the change-request pipeline so that scope changes are evaluated for cost and necessity before they are raised.

• Own KANA's data migration responsibilities: extraction from legacy systems, cleansing and de-duplication, population of the partner's load templates, validation of loaded data, and sign-off on data integrity for chart of accounts, business partners, items, employee master and bills of materials.

• Plan and coordinate user acceptance testing and final integration testing — building test scenarios with key users, tracking defects to closure, and preparing system acceptance evidence.

• Define and configure user roles and authorisations to segregation-of-duties standards, in coordination with Finance and Internal Audit.

• Prepare and execute the cutover plan: opening balances, sequencing, freeze windows, fallback position and go-live readiness checks.

• Lead post-go-live stabilisation once vendor hypercare ends, absorbing day-to-day issue resolution internally.

3.4 Reporting, Analytics & User Enablement

• Design, build and maintain reports, queries and document layouts — SAP B1 queries, Crystal Reports and marketing document/print templates — as the business's requirements evolve after go-live.

• Develop and maintain the group's business intelligence and management reporting from SAP B1 data, working with Finance and brand management on the metrics that matter.

• Own end-user training and documentation after go-live: training material, refreshers, onboarding of new users and branches, and a maintained library of standard operating procedures and troubleshooting guides.

• Act as the internal centre of expertise for key users across Finance, Retail, Wellness and F&B, translating business requirements into system solutions.

3.5 Infrastructure, Identity & Network

• Administer Microsoft 365 (Exchange Online, Teams, SharePoint), Active Directory and Entra ID, including identity lifecycle, group and licence management, conditional access and MFA.

• Manage the Azure-hosted SAP B1 environment jointly with the hosting provider: environment sizing and cost, access control, connectivity, monitoring, backup verification and documented disaster-recovery and restore testing.

• Manage network infrastructure across head office and branches — LAN/WAN, VPN, firewalls, internet links and site connectivity — with particular attention to the branch links on which POS and ERP integration depend.

• Manage endpoints, servers, backups and the group's IT asset inventory.

• Provide tier 2/3 support and escalation handling for issues raised from branches and head office, with defined response expectations and a maintained knowledge base.

3.6 Security, Vendor & Commercial Management

• Define and enforce IT security policies, access controls and periodic user-access reviews across all business units; support internal and external audit requirements.

• Manage vendors for ERP, hosting, integration and infrastructure — contracts, SLAs, escalation paths, renewal dates and performance reviews.

• Manage software licensing and subscription renewals (SAP B1 named users and licence types, add-ons, intercompany, hosting, Microsoft 365), optimising allocation as headcount and usage change.

• Provide input to IT budgeting and planning for infrastructure, ERP and system upgrades in coordination with the IT Manager, including the cost impact of change requests and additional vendor days.

• Document system configurations and procedures, and mentor junior IT staff toward second-line coverage of core systems.

Skills

Required Qualifications & Experience:

• Bachelor's degree in Information Technology, Computer Science, Information Systems or a related field.

• Minimum 5–7 years of progressive IT systems administration experience, including at least 2 years in a senior or lead capacity.

• Hands-on SAP Business One administration experience is strongly preferred. Candidates with deep administration experience on another mid-market ERP (Microsoft Dynamics 365 Business Central / F&O, Odoo, Oracle NetSuite) will be considered where there is a clear ability to reach working SAP B1 competence within an agreed timeframe.

• Direct participation in at least one full ERP implementation or migration — covering data migration, UAT, cutover and post-go-live support — on the client side rather than purely as a vendor consultant is an advantage.

• Demonstrable experience operating system-to-system integrations in production: APIs and webhooks, scheduled batch jobs, error handling and reprocessing, and reconciliation of interfaced financial and inventory data.

• Working knowledge of SQL, sufficient to write queries, investigate data issues and build reports; experience with Crystal Reports or an equivalent reporting tool.

• Experience administering multi-company, multi-currency or multi-entity ERP environments; exposure to intercompany processes is a strong advantage.

• Strong working knowledge of Windows Server, Active Directory / Entra ID, Microsoft 365 and networking (LAN/WAN, VPN, firewalls).

• Experience with cloud-hosted business systems (Azure preferred), including working with a managed hosting provider.

• Experience with retail, salon or hospitality systems — POS, booking or e-commerce platforms such as Zenoti, Shopify, Sapaad or similar — is a significant advantage.

• Professional working English; Arabic is an advantage given branch-level user support.

5. Preferred Certifications

• SAP Business One certification (Implementation & Support Consultant, or Administration) — preferred, or willingness to obtain within an agreed timeframe.

• Boyum B1 Usability Package (B1UP) training or certification.

• Microsoft Certified: Azure Administrator Associate, Microsoft 365 Certified: Administrator Expert, or current equivalents.

• ITIL Foundation, CompTIA Network+/Security+, CCNA/CCNP, or comparable systems administration and service management credentials.

6. Key Skills & Competencies

• Strong analytical and problem-solving skills, with the ability to trace a problem across ERP, middleware, a third-party platform and the network before concluding where it sits.

• Ownership mentality — able to take critical systems personally and run them with minimal supervision.

• Structured, documentation-driven approach; the environment must remain operable when this role is on leave.

• Credible with vendors: able to challenge a scope exclusion, a change-request estimate or an SLA breach on technical grounds.

• Clear communication with non-technical branch staff, Finance, and senior management alike.

• Comfortable managing competing priorities across several brands and business units under period-close and go-live pressure.

• Sound judgement on segregation of duties, data confidentiality and audit exposure.

7. Measures of Success — First 12 Months

• SAP B1 live across all in-scope entities with a clean cutover and no unresolved opening-balance differences.

• All four integrations running with a documented daily monitoring routine and month-end reconciliations closing without manual rework.

• Vendor dependency reduced: routine configuration, report and layout changes handled internally rather than through chargeable change requests.

• A maintained authorisation matrix, with periodic access reviews completed and evidenced.

• Documented runbooks and a trained backup within the IT team for every critical system routine.

• Tested backup and restore for the SAP B1 environment, with a documented recovery time.
