Administrative Assistant

Job Description:
• Provide administrative support to ensure efficient operation of the office.
• Answer and direct phone calls, organize and schedule appointments, and maintain contact lists.
• Assist in the preparation of regularly scheduled reports.
• Develop and maintain a filing system, both physical and digital.
• Develop and update administrative systems to make them more efficient.
• Receive, verify, and store incoming stock or inventory according to established procedures.
• Perform regular inventory audits to ensure accuracy and identify discrepancies.
• Monitor and track inventory levels to avoid shortages and excesses.
• Generate reports on inventory levels, stock movement, and other related metrics.
• Coordinate with suppliers to ensure timely delivery of stock and resolve any issues related to orders.
• Prepare and process purchase orders for replenishing stock.
• Organize and maintain storage areas for efficiency and cleanliness.
• Assist in the implementation of inventory management systems.
• Work closely with other departments such as purchasing, sales, and operations to coordinate stock-related activities.
• Prepare sales orders

Key Skills & Qualifications
• Proven experience as an administrative assistant or similar role.
• Proficiency in MS Office (MS Excel and MS Word, in particular) and office management software.
• Excellent organizational and time-management skills.
• Strong written and verbal communication skills.
• Attention to detail and problem-solving skills.
• Ability to multitask and prioritize tasks effectively.
• Knowledge of inventory management software and procedures (preferred).
• Experience in stock handling or inventory management (preferred).
• Ability to work well independently as well as part of a team.
• High school diploma; additional qualifications in Office Administration or related field are a plus
