Executive Secretary

We are seeking a highly organized and proactive Executive Secretary to provide comprehensive administrative support to our CEO. The ideal candidate will demonstrate exceptional communication skills, strong attention to detail, and the ability to handle sensitive information with the utmost discretion and professionalism.

Key Responsibilities:

  • Provide high-level administrative support to executives, including scheduling meetings, managing calendars, and organizing travel arrangements.
  • Prepare, edit, and proofread correspondence, reports, presentations, and other documents, ensuring accuracy and professionalism.
  • Act as the primary point of contact between executives and internal/external stakeholders, maintaining effective communication.
  • Coordinate and facilitate communication across departments to ensure alignment and operational efficiency.
  • Maintain organized filing systems, ensuring confidential documents are handled and stored securely.
  • Assist in the preparation of meeting agendas and take minutes during meetings, distributing them to relevant parties in a timely manner.
  • Conduct research and compile data for reports and presentations as needed, ensuring thoroughness and accuracy.
  • Handle inquiries from clients, partners, and team members, providing information and assistance as required.
  • Assist with special projects and perform other duties as assigned by executives to support organizational goals.

Skills

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field (preferred).
  • Proven experience as an executive secretary, administrative assistant, or in a similar administrative role.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Strong organizational skills with the ability to multitask, prioritize effectively, and manage time efficiently.
  • Exceptional written and verbal communication skills, with the ability to interact professionally with all levels of staff and external contacts.
  • High level of confidentiality and professionalism when handling sensitive information.
  • Ability to work independently, take initiative, and collaborate as part of a team.
