A) Job Summary:


Perform variety of administrative and secretarial duties that require a close working knowledge of the Company's policies and regulations.


B) Key Responsibilities:


  • Provide secretarial and overall office support.
  • Serve as the liaison between the Superintendent, subordinate staff, and other key officials.
  • Maintain Contractor's personnel overall records like absenteeism and overtime and compile the same during the end of each month.
  • Finalize attendance sheets, absence without replacement, and final invoice with all deductions/additions.
  • Ensure that the Contractor's invoices are processed in time in both hard copy and electronically through Maximo (eBeams).
  • Assist in preparing manpower requirements, contract terms of reference, adjustment orders, and other documents.
  • Maintain record of all Contractor's personnel and ensure all nursing personnel are holding valid MOH practice licenses.
  • Prepare and control the Superintendent's calendar.
  • Screen all calls and visitors, answer queries and complete the task in an accurate manner based on knowledge of the Superintendent's views and an awareness of all matters in which he/ she is currently involved.
  • Identify trends that may have a significant effect on, such as administrative practices, communications, etc.
  • Personally handle completion of a wide variety of administrative projects, coordinate with concerned personnel within the division / inter-departments, and compose letters and official correspondence from notes, briefings, etc.
  • Collect data for various reports and type reports utilizing relevant computer software.
  • Review all internal documents, point out aspects such as lack of clarity, and follow up with the official action for review and possible correction and resubmission.


C) Experience :


  • Five (5) years of experience in related field


D) Education:


  • Bachelor’s Degree plus Diploma in Computer Application from a recognized university/ institution.


Skills

  • Fluent in spoken & written English.
  • Skills in stenography: Typing and shorthand
  • Excellent ability to handle self-correspondence in English.
  • Ability to prepare invoices and financial documents.
  • Working knowledge of Maximo (eBeams) software.
  • Remarkable command of the communication aspect through written and verbal modes.
  • Proficient in autonomous work by maintaining high standards under pressure.
  • Adept at communicating all the instructions and messages through clear and concise channels.
