Generating, preparing, scheduling and sending operations reports Maintain the country s operational Master files (SOPs, SLAs, ..etc)
Maintain all stores related data (Personnel, contracts, licenses, building management contact details, health cards, assets, etc)
Proper tracking for all legal licenses and heath cards and follow up on renewals and completion to avoid fines.
Handle data collection for overtime and ensure timely submissions and approvals from city managers for in-house and outsourcing companies.
Support operational projects, initiatives and special projects with proposal preparations and presentations when needed.
Coordinate activities throughout the operation to ensure efficiency and maintain compliance with company policy and management deadlines (Marketing activities, Engagement activities, etc)
Track operational supplies and consumption as necessary to avoid interruptions of business (Stationary, Pantry supplies, Drinking water, Toners, Consumables, etc)
File, maintain and track all operational POs (Construction, procurement, personnel, etc)
Maintain office services by organizing office operations and procedures, controlling correspondence, designing filing systems, reviewing, and approving supply requisitions, and assigning and monitoring clerical functions.
Keep management informed by reviewing and analyzing special reports, summarizing information, and identifying trends.
Maintain tracking of recruiting, selecting, onboarding, orienting, and training of operations employees.
Maintain records and historical data for operations staff warnings and recognitions.
Ensure that all stores utilities accounts data is maintained and follow up on payments execution by finance and keep logs to ensure historical data is accessible and there is no interruption to store operations.
Attending operations management and cities meeting and provide minutes of meetings logs with actions decided if any and owners and ensures follow up on timelines with the respective parties.
File all operational stores visits and provide a summary and suggest enhancements to the existing logs by city heads.
File all surprise audit stores visits reports and follow up on actions defined by Sr operations manager.
Provide historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
