Job Details

Order Processing and Documentation: 


  • Process Purchase Orders (POs) and ensure all procurement documents for tender contracts are accurately prepared and submitted according to the tender requirements. 
  • Maintain detailed records of all procurement actions related to tenders, ensuring data accuracy and document integrity.  


Financial and Contract Compliance: 


  • Assist in the management of financial transactions related to tenders, including the verification of invoices and the processing of payments in accordance with contract terms. 
  • Ensure all contractual obligations are met and documented, maintaining compliance with both the tender conditions and organizational policies. 


Logistics and Inventory Management: 


  • Ensure the processing of Goods Received Notes (GRN) in the ERP system upon the arrival of goods at the warehouse. 
  • Coordinate with warehouse personnel to expedite the delivery of tender goods to central medical stores or other designated locations, ensuring all required documents are accurate and included. 
  • Monitor and manage the transfer of Trade Stock vs. Tender Stock in emergencies to prevent penalties, ensuring reimbursement for any trade stock used. 


Quality Control and Compliance Reporting: 


  • Assist in the verification of goods and services against contract specifications to ensure quality and compliance. 
  • Prepare and submit compliance and status reports, providing accurate updates on procurement activities related to tenders. 
  • Prepare and submit reports regularly to the direct manager covering all the Tender activities. 


Regulatory Adherence: 


  • Ensure procurement activities adhere to all relevant regulations and standards outlined in the tender documents. 
  • Regularly update and maintain procurement logs to reflect current activities and ensure transparency and accountability. 








Skills

  • Bachelor's Degree in Commerce, Business Administration, Procurement, Supply Chain Management, or related field. 
  • Minimum of 2 - 5 years of experience in the same or related field.
