Operations Manager

General Responsibilities:

Oversee the physical operation of the entire school and its programs. Manage the day-to-day operations of the school’s campus security, custodial / maintenance, transportation and photocopy resources.


 

Specific Responsibilities: 

 

Maintenance, Cleaning and Housekeeping

 

1.     Supervises / trains the security guards, custodial supervisor, maintenance crew, store keeper,

     transportation, and act as liaison with the HR Department.                   

2.     Plans, organizes, directs and supervises the performance of custodial work within the  

     buildings

     and miscellaneous grounds maintenance; is responsible for security of buildings. 

3.     Create and oversee the maintenance and cleaning programs that keep the school’s

     appearance in  exemplary condition.

4.     Work with building principals to determine overall custodial work to be performed and any

     special

      projects; set work priorities; assign custodians to perform work, and inspect assigned work as

      follow-up.

5.     Oversee and evaluate the work of a buildings and grounds crew.

6.      Supervises the maintenance of the school grounds, playground equipment, and parking spaces

      through the maintenance Technician.

7.     Develop, maintain and report all required environmental, health and maintenance standards as

      required by law and to work with the administration, to ensure compliance with all regulations and

       laws as they impact the school.

8.     Establish maintenance / cleaning requirements for the winter/spring/summer breaks in cooperation

     with the Strategic Plan Facilities Chair and Head office.

9.      Ensure quarterly maintenance / service visits (AC, elevator, pest control, firefighting equipment,

      sewage, etc.) take place on a timely manner and any issues /concerns are resolved promptly.

Subcontracting related assignments

 

1.     Supervise the cleaning of the building through the sub-contracted cleaning supervisor,

     creates the schedule and room assignments for cleaning workers.

2.      Coordinates with the sub-contracted supervisor any concerns related to the cleaning company

      and the sufficiency of cleaning supplies.

3.     Follow-up with service sub-contractors as needed.

4     Establish specifications for all outside contractual work which cannot be performed by onsite

      maintenance crew in collaboration with business development manager.

5.     Assist in the supervision of the work of all outside contractors to ensure compliance with

         contractual agreements and budgetary restrictions as determined by the head office.

6. Maintain copies of all school service contracts and coordinate with head-office for renewals as needed.


Health and Safety

 

1.     Acts as a back-up to the ERT Coordinator.

2.     Responsible for ensuring that safety standards are adhered to and that all fire & safety equipment is properly functioning and up to date.

 

Budgeting, Procurement and Inventory Management

1.     Create and oversee an on-going equipment/furniture (non-IT related) replacement

      program and budget.

2.      As the procurement officer, develop plans and implement purchasing goals and

      objectives including the proposal of goods and services at the lowest prices while

       maintaining the best quality.

3.      Act as member of purchase committee.

4.      Prepares purchase requests according to the needs of the Operations Department and

       the academic sections as approved by the Superintendent.

5.      Manage the delivery of orders as per set protocols.

6.      Maintain procurement records for internal and external audits.

7.      Manages inventory and stock control.


Staff and Students Transportation

 

1.      Ensure transportation is provided daily to/from staff housing.

2.      Manage students’ transportation through sub- contractors and report business development manager in case of any issues concerns.


Other duties

 

1.      Handles parents’ complaints when the principals or superintendent are not available.

2.      Handles parents’ complaints on behalf of the Head Office.

3.      Perform other related duties as assigned by the Superintendent.

4.     Receives, on behalf of the Superintendent, inspectors from the Ministry related to areas

     such as library, text books, cafeteria, clinic, etc. Reports outcome of visits to the

     Superintendent.

  5.   Performs other tasks, duties and responsibilities as assigned by the Superintendent.
