  1. Greet and welcome visitors in a courteous and professional manner.
  2. Answer and direct phone calls promptly and efficiently.
  3. Provide information to callers and visitors, both in person and over the phone.
  4. Manage the reception area, ensuring it is clean, organized, and welcoming at all times.
  5. Receive and sort mail and deliveries, and distribute them to appropriate personnel.
  6. Schedule appointments and maintain appointment calendars for staff members.
  7. Assist with administrative tasks, such as filing, photocopying, and data entry.
  8. Maintain inventory of office supplies and order new supplies as needed.
  9. Assist in coordinating meetings and conferences, including arranging catering and equipment setup.
  10. Handle inquiries and requests from clients, vendors, and employees courteously and promptly.
  11. Maintain confidentiality of sensitive information and handle it with discretion.


Skills

  • High school diploma or equivalent.
  • Previous experience as a receptionist or in a similar role is preferred but not required.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills.
  • Professional appearance and demeanor.
  • Strong organizational and multitasking abilities.
  • Ability to remain calm and composed under pressure.
  • Customer service-oriented mindset with a desire to help others.
  • Ability to work independently and as part of a team.
