Responsible for ensuring administrative operational efficiency, compliance with work processes, and quality of execution.

The objective of the position

Manage daily office operations and delegate administrative tasks to ensure timely completion and quality assurance.

* University degree in Business Administration or Law or a related field.

* Minimum of five years of operational experience in management and administration, including at least two years in supervising a work team.

* Previous experience in managing a law office or legal administration, preferably within Kuwait.

* Practical understanding of the case file cycle: opening the file, processing documents, following up on sessions, recording updates, and archiving and closing.

* Proficient in Arabic writing and speaking, with a good level of English for professional correspondence.

* Proven experience in handling workload accumulation, improving procedures, and increasing employee compliance with deadlines.


The main tasks and responsibilities

Daily operations management, task distribution based on priority and workload, and clearly defining responsibility for each task.

Monitoring employees, daily monitoring of performance, and addressing delays, ensuring quality outputs before closing tasks.

Sessions and deadlines, ensuring the existence of a mechanism for recording updates and reminders and monitoring, with reliance on deadlines and legal procedures from the responsible lawyers.

File management, controlling the opening of electronic and paper files, unifying naming and indexing, and verifying the completeness of documents and ease of retrieval.

Printing, coordination, and archiving, setting clear quality standards and monitoring compliance with them, and reducing errors and duplicate work.

Correspondence and customer service, organizing incoming mail and requests, and determining the responsible for response and monitoring, and applying standard templates for correspondence.

Internal procedures, preparing written work procedures and checklists, and clarifying responsibilities for each position and who can fill it during absence.

Performance management, evaluating employees with clear metrics, and identifying training needs, documenting shortcomings, and raising recommendations.

Reports for management, providing a weekly summary report outlining achievements, delays, risks, and required decisions from you.

Continuity of work, organizing task delivery during vacations or end of service, and preventing the linking of the manager and files to one employee.
